If an undertaking has bought a vehicle fitted with a digital or smart tachograph, before it can be used a company card must be inserted into the tachograph to identify the vehicle as belonging to the respective undertaking. When a company card is inserted into a tachograph for the first time, the display will show the name of the undertaking and a question ‘open the company?’; you then need to press the confirmation button. A file or a folder of the specific undertaking will open in the tachograph memory, which will store all information about the vehicle and the drivers who have used the vehicle. This restricts access to the data in the tachograph. Information in the tachograph can only be accessed by means of this company card, a control authority card or a workshop card of a certified tachograph installer. This ensures confidentiality of the vehicle information and protection of private individuals’ data. When the undertaking transfers the vehicle to another undertaking or sells the vehicle, the company card must be used to ‘close the company’, which will close the file or folder where information of the undertaking is stored. The new user or owner of the vehicle has to ‘open the company’ and create a new file or folder with their company card.
A company card is used to display, download, print out or lock in the data on activities of the vehicle owner or holder recorded in the tachograph to prevent other vehicle owners or holders from viewing the data. A company card must be obtained by all vehicle owners or holders registered in Latvia who have at their disposal at least one vehicle fitted with a digital or smart tachograph to record driver work and rest time.
A company card is issued for a period of 5 years.
The guaranteed time frame for the initial issue, renewal or replacement of a company card with a new one is 15 working days of receipt of the application.
If the card is lost, stolen, damaged or faulty, a new card is issued within 5 working days of receipt of the application.
